This website is built to collect as little as possible. It sets no cookies, runs no analytics and loads nothing from third parties. This notice explains what we do hold and why.

The detail
Who we are
Hostcol Ltd is the data controller for information handled through this website and in our correspondence with you. We are a private limited company registered in England & Wales, company number 13600204, with our registered office at 128 City Road, London EC1V 2NX, United Kingdom. What we collect
- Enquiries. When you email us, or use the enquiry form (which opens your own email app), we receive what you choose to send: typically your name, email address, organisation and details about a property or portfolio.
- Client records. If you instruct us, we keep the information needed to deliver the work, meet our legal obligations and keep proper records.
- Server logs. Like any website, our hosting provider records technical data such as IP address, browser type and the pages requested, for security and to keep the site running.
We do not use cookies, tracking pixels, analytics tools or advertising services.
Why we use it, and on what basis
- To reply to your enquiry and discuss a possible engagement: our legitimate interests, or steps taken at your request before entering into a contract.
- To deliver services you have instructed: performance of a contract.
- To keep financial and anti money laundering records: legal obligation.
- To keep the website secure: our legitimate interests.
We never sell your information, and we do not use it for marketing without your consent.
Who we share it with
Only those who help us run the business, such as our email and hosting providers and professional advisers, and only as far as needed. With your agreement, we may share details with parties involved in your matter, such as solicitors, surveyors or lenders. Hostcol is part of the Grant & Graham group; where a matter involves another group company, we will tell you first. Where information is transferred outside the UK, we make sure appropriate safeguards are in place.
How long we keep it
Enquiries that do not lead to an engagement are kept for up to two years and then deleted. Client records are kept for as long as the law requires, usually six years after the engagement ends. Server logs are kept for a short period set by our hosting provider.
Your rights
Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, and ask for it to be transferred. Write to hello@hostcol.eu and we will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.

We will update this notice when our practices change, and revise the date at the top.
